For our client, a Swiss Pharma company in the area of Basel, Switzerland, we are looking for an

Administrative Assistant Commercial Ops (5924)

in a contracting setting for initially 12 months.

Your tasks

  • Manages weekly team meetings, i.e. agenda setting with GM, capturing and sharing meeting minutes, following up on action items.
  • Manages weekly compliance review meetings, i.e. set up agenda with team, capturing and sharing meeting minutes, following up on action items.
  • Manages meetings and events with Healthcare professionals, which includes ensuring the company has obtained the required approvals, the right contracts are in place, team attendance is coordinated, and that evidence is appropriately captured and stored.
  • Builds and maintains an archive of compliance-relevant documentation surrounding meetings and events with HCPs; acts as primary contact person for meetings and events in case of an internal- or external audit.
  • Acts as Veeva champion, becoming a system expert for Promomats, MedComms and Engage (note: prior experience with these systems is preferred, but not required); helps the team implement changes to systems and processes as needed.
  • Supports the logistical organization of internal team events, including 3x sales-cycle meetings per year in locations across Switzerland and Austria
  • Ensure cross-functional collaboration with Medical Affairs, Sales and other functions at the affiliate level as well as with the EUCAN region
  • Supports the team, and in particular the GM, with administrative tasks, specifically with the creation and signing of contracts, the creation of Purchase Orders, and or rare occasions, with expenses. 

Key requirements:

  • Strong organization skills and a structured approach to work
  • Excellent communicator and collaborator
  • Minimum 2 years of experience in the pharmaceutical industry
  • Knowledge of pharmaceutical compliance rules in Switzerland and Austria
  • Experience working on product launches preferred
  • Excellent planning and project management skills
  • Fluency in English, plus German or French
  • Agile; thrives in a dynamic and science-driven environment
  • Excited about building and creating new structures
  • Driven and able to work independently
