Overview:

The HR Service Advisor Support role is a 12-month contract based in either Visp or Basel, with a 40% workload (Monday to Thursday, mornings or afternoons).

The primary responsibility will be assisting People Managers and HR Business Partners by drafting, formatting, and managing reference letters. This role requires strong attention to detail, confidentiality, and excellent communication skills in both German and English. The specialist will efficiently handle reference requests, ensure timely completion, and maintain a professional, organized system for managing records.

Key Accountabilities:

  • Draft and manage professional reference letters: Compose clear, accurate, and well-structured reference letters tailored to employment, academic, or character reference needs. Ensure letters adhere to company standards and reflect professionalism.
  • Coordinate with stakeholders: Liaise with people managers, HR, and external stakeholders to gather necessary information and ensure timely handling of reference requests. Secure authorization from senior management or reference providers as needed.
  • Ensure confidentiality and compliance: Handle sensitive information with discretion, sharing letters only with authorized recipients. Ensure compliance with data protection and privacy regulations.
  • Monitor progress and ensure timely delivery: Track and monitor the progress of reference requests, ensuring they are completed and delivered within set deadlines. Follow up with internal departments or recipients when necessary.
  • Maintain an organized record-keeping system: Develop and maintain a secure system for storing reference letters, keeping accurate records of requests and issued letters, and ensuring compliance with organizational retention policies.
  • Provide quality assurance: Review letters for grammatical accuracy, tone, and content, ensuring they reflect positively on both the individual and the organization. Make revisions based on feedback or changing requirements.
  • Offer customer support and communication: Act as the main point of contact for reference letter inquiries. Provide clear instructions and guidance to those requesting or providing references, and address any concerns related to content or deadlines.

Required Skills & Qualifications:

  • Proficient verbal and written communication skills in German and English.
  • Strong attention to detail and ability to handle confidential information.
  • Excellent organizational and time-management skills.
  • Experience in drafting professional documents, particularly reference letters.
  • Ability to work independently and coordinate with multiple stakeholders.
