Junior Admin Support (German-speaking)
Our client, a global market leader in the production and process support of active pharmaceutical ingredients, both in the chemical and biotechnology sectors, is looking for a Junior Admin Support for a 12-month contract (with possibility for extension) based in the Basel area, Switzerland.
Main Responsibilities:
- Acting a support for daily, short notice admin tasks such as ad hoc meetings, distribution list maintenance, act as a share point access approver, support on HR / recruiting tasks, hotel and travel booking for key stake holders, replying to Nexus Admin Inbox requests, visa requests, invitation letters and data filing.
- Acting as a workshop organization support: supporting workshop organization (requirements evaluation, working with agencies & procurement, helping with hotel and workshop logistics as well as preparing workshop documentation and print outs (e.g. lanyards etc.)
- The position requires a highly flexible personality being able to cope with constantly changes tasks in an agile digital transformation program being stress resilient and willing to sometimes walk the “extra-mile”
- The applicant should be able to travel regularly to offsite workshop being able to support the program team (130 people) during workshops on site if required (up to 3 weeks / 6 times per year)
- It needs to be clear that this is not a peer position to the Nexus Admin Assistant but that the support is reporting to the Nexus Admin Assistant receiving tasks from their supervisor as well as from other Nexus stakeholders
- As Nexus is a super-fast paced project, the applicant needs to have quick perception and prompt execution skills
Qualifications and Experience:
- Relevant working/residency permit or Swiss/EU-Citizenship required
- Proficiency in ARIBA PO
- English and German fluent
- First-class communication, organizational, and analytical skills with a highly developed ability to work independently.
- Consistently delivers highly accurate and timely work.
- Capability to handle various tasks simultaneously without compromising on quality.
- Advanced proficiency in MS Office Suite (Outlook, Word, PowerPoint, Excel); understanding of other office management software (SAP, SharePoint, MS Teams).
